The Project Onboarding dashboard provides clarity and details for your project requests and active projects with Cast & Crew.
The dashboard helps you keep track and stay on top of your projects in an easy to navigate design that includes features to help you make sure all projects are moving in the right direction.
This article is broken into a general overview and then covers key sections in more detail.

To access the Project Onboarding dashboard, log in to your MyCast&Crew account and click the Project Onboarding tab:
Dashboard Overview
The dashboard has many sections to help you track your project’s progress (view the definitions for each labeled section below):
- Search bar: Use this to easily find a project via its name, company, or status.
- Subtabs: Use this to switch back and forth between viewing your project requests and active projects to project templates you have created.

Action Buttons:
- Admin Collaboration: Add other admins to create/edit/submit projects and add other users with access to project onboarding.
- + New Project: Begins the process of creating a new project request. To learn how to submit a new project request, click here.
- Project Requests: Lists all current project requests. Projects you see listed here are not currently processing payroll. From here, you can manage draft projects, track activation statuses, and complete pending tasks. See below for more details.
- Active Projects: Lists all active projects that are live and currently processing payroll. Active projects are live in payroll. You can review their status and complete any pending setup tasks from this section. See below for more details.
Projects Tab
Project Requests Section
This section helps you manage draft projects, projects that have been submitted to Cast & Crew but are still being set up, track activation statuses, and complete pending tasks.
To the top right of the section, you have sorting and filtering options.
You can sort by:
- Status
- Project name
- Production company
- Project type
- Last modified
You can filter to view projects under a specific status via the filter dropdown.
To the right of these options, you can switch your view between card and list view:
Clicking on the three vertical dots button on any project provides a menu of options:
- View: View the status breakdown of the request.
- Edit: Edit the details of the project.
- Clone: Clone the information of a project to a new project setup request.
- Share: Allows you to assign view-only, edit, submit, or add additional project collaborators permissions.
- Download: Download a copy of the project.
Projects in the “Project Requests” section can have the following statuses:
- Action Required: A part(s) of the project setup still needs your attention before Cast & Crew can proceed.
- Setup In Progress: Your project is currently being set up by the Cast & Crew team. No action is needed from you at this time.
- Unsubmitted Changes: Your project has unsubmitted changes. Please review and submit them. You can find more details in the History panel.
Active Projects
This section displays your list of projects that are currently live in the payroll system. For projects listed here, you can process payroll.
While your project may be live for payroll processing, other services (Start+, Hours+, Studio+ etc.) may still be in the setup phase.
Active projects can show the following statuses:
- All systems go
- Action required
- Setup in progress

To view more details about a project, simply click on the desired project to be taken to the project setup details page:
Service Setup Tracker
This section lists the different services requested for the project along with their current status. Each service’s status can be seen to the right of its row.

Tip: You can hover over each color of the service tracker to view details. Green: Item is complete. Blue: Item is in progress. Red: Action is required from you. |
Each service can also be clicked on to view expanded details about the setup process for that specific service:
In the expanded view, you can see each step of the service setup process and its status. If there is any action required, it will be clearly labeled for you.
If something requires your action – you would use the action button (example: “Upload file” button) to address it.

Tip: If one of your project’s action items is the Certificate of Insurance, we’ve made it easy by having the option to have Cast & Crew send a message to your broker for you to obtain your COI: |
It is important to keep an eye on any services that show “Action required” to make sure your project setup continues smoothly!
Project Setup Files
The Project Setup Files tracks all files related to the project you are viewing along with its status.
This includes files you uploaded while submitting the project using the project request form, as well as any additional files you upload after submitting a project – centralized in one place.
This section includes a search bar, sorting, and filtering options to quickly locate a file.
If needed, you can use the “+ Upload” button here to add more files for your project:
Uploading Files
Select Click to upload to browse your computer for the necessary file(s), or simply drag and drop them into the window:
After the file uploads, you’ll select the category for the file via the category dropdown:
It is important to select the correct category to ensure it is routed appropriately for your project setup.
You can continue to add more files to the window if needed, and once all files and categories are set, click Upload Files:
Templates Tab
The templates tab stores any templates you have chosen to save. Templates are a great way to speed up the process of requesting a new project. To learn how to create a new template, click here.
For example, you could save a template entitled “Limited Series” and use it any time you are setting up a limited series project type.
On this tab you’ll be able to track the name of the template, production company, project type, and the date the template was last modified:
Just like the Projects Tab, you have the option to sort your templates and switch between card view and list view with the buttons near the top right:
Clicking on the three vertical dots button on any template provides a menu of options:
- Copy to Project: Copy this template to a project.
- Edit: Edit the template details.
- Copy to Template: Copy this template to another template.
- Share: Share this template with another project collaborator.
- Download: Download a PDF copy of the template.
- Delete: Delete the template.
