As a payroll accountant, part of your role is keeping track of crew member's allowance caps to prevent the possibility of overpaying an allowance.
Hours+ has an allowance cap tracking system in place to help you stay on top of paid out allowances for crew members.
Caps entered in Start+ will automatically populate in Hours+. The first time a cap is entered, it will be automatically synced to Hours+. Changes to the cap on subsequent deals will need to be manually updated in Hours+
Allowance Cap Tracking and Editing
When reviewing a timecard on the weekly timecard screen in the allowances section you will see the same information as you do in the Daily Timesheets tab but here you have some actions you can take:
To quickly view the dollar amount paid vs remaining on an allowance cap, you can hover over the percentage arch:
You can click the View Cap Tracker button to view or edit details about the allowance caps on the timecard:
This will bring up the Cap Tracker modal window:
In this modal window you can:
- View percentage arch reflecting the amount paid vs unpaid
- The paid dollar amount, including both Hours+ and non-Hours+ timecards
- How much dollar amount is remaining in the cap
If you need to make edits to or delete any of the allowance caps on the timecard, in this modal window click the three vertical dots button on the specific allowance:
Clicking Edit allows you to increase or decrease the total amount of the allowance cap:
After you type in the new cap amount, click the green checkmark to update it. This will update the percentage arch and the dollar amounts accordingly:
Clicking Delete in the three vertical dot menu of an allowance cap will prompt you with this warning:
Click Remove to permanently remove the allowance cap.
Things to Keep in Mind:
- If a new cap needs to be entered for an existing deal memo, reach out to your payroll coordinator for assistance
- Net-new allowance caps cannot be added within the system. If a cap is deleted or wasn’t originally set up in Start+, it cannot be re-added. For any changes or additions, contact your payroll coordinator for assistance.
- Allowances will still apply even if a cap is reached. This provides flexibility to pay beyond a cap if needed.
- The meter reflects only what has been paid out. Current timecard entries do not factor into the meter until they have been processed.
- If a cap is exceeded, you will be notified. Overpayments are not automatically prevented by Hours+.
- Updating the cap will apply to all active deals within the project for that crew member, as long as they have an allowance entry for that specific type.
Allowance Cap Tracking on the Daily Timesheets Screen
On the daily timesheets screen, when filling out times for crew members you can check allowance caps via the Eye icon on the row for the crew member:
Allowance cap tracking shows:
- A percentage arch reflecting the amount paid vs unpaid
- The paid dollar amount, including both Hours+ and non-Hours+ timecards
- How much dollar amount is remaining in the cap
To hide allowance cap tracking, click the Eye icon again.
