The self-service custom start-work builder lets you configure your own start-work documents directly, without custom development or a production release.
Plus, you can collect custom data from employees as part of onboarding.
You can add custom documents at the project level or company level. The creation of custom documents is the same for either level you choose.
The custom start-work builder supports three scenarios:
- Document for signature: Use employee profile or project onboarding data already in the system to complete a document and collect a signature — no new data entry required. (e.g. NDA, union work referral fee checkoff)

Custom data collection: Collect project- or client-specific data with no document needed. Collected responses are available within Onboarding & Timekeeping for Commercials via the Employees tab on a per-employee basis, as well as Reporting+, Cast & Crew’s self-service reporting tool, for analysis and export across multiple employees/in bulk. (e.g., crew t-shirt sizes, NYS tax credit diversity data)

- Data placed into a document: Collect custom data and place it onto a formatted document, combining data collection with a finished PDF. (e.g., IATSE Deferred Salary Agreement Form)
Creating a Custom Document

Company Level Documents

Note: Only Company Admins will have access to the “Companies” tab. Company-level custom documents are automatically cascaded to all projects within the company. They can be disabled at the project level, but they will be on by default. This makes it easy to assign a required document to all projects within a company at once. |
To create a company-level custom document, click on the Companies tab in the top navigation menu, locate and open your company, click on Document Templates, and then click + Add paperwork:
Next, enter a name for your paperwork, select which type of paperwork you’d like to create, and click Continue:
Project Level Custom Documents
| Note: Project-level custom documents created by you will only be visible to you for that specific project. |
Open your project, click Settings near the top right corner, and then click Custom Paperwork:
You will see three sections in this Onboarding Paperwork screen:
- Custom: Any custom paperwork you have created
- Company: Any custom paperwork that a company admin from your company has created
- Default: The default paperwork for your project
To create a new custom paperwork, click +Add paperwork:
Next, enter a name for your paperwork, select which type of paperwork you’d like to create, and click Continue:
Document for Signature
As an example, we will add an NDA custom document that requires a crew member signature.
After naming and selecting “Collect Signature,” you will be prompted to upload your document. Upload your document by browsing your computer or simply drag and drop it, and click Upload files:
You’ll be taken to the document mapper screen where you can map fields for the crew member to fill in during onboarding:
In our example, we will be adding:
- A crew name, signature, and date field
- A countersigner name and signature field
To do so, we will expand the field type on the left side and click on the field we need to add to our document:
Once a field is clicked, it will appear on the document. You will drag it into place and resize it if needed:
Once you have finished adding in your fields, click Next -> in the bottom right corner to move on to “Delivery Rules”.
Delivery Rules control when your custom start-work will be presented to crew members:
Your first options are to choose to turn on or off:
- Send Document to Payroll: Includes the document in the payroll download for the employee when downloading their start paperwork from the “Employees” tab.
- Make Document Optional: Lets crew members bypass the document in their start packet.
Below these options are where you can set rules for the document. These allow you to granularly control who your custom document is shown to during onboarding.
For example, you can limit the document to a specific work location. In the example below, our document will only be shown to crew members who are hired in “CALIFORNIA – BURBANK” and “CALIFORNIA – SAN DIEGO”:
Once you have set all your desired delivery rules, click Save & Close in the bottom right corner:
Your custom document has been created!
The last step is to publish the document. To do so, flip the slider to the left of your custom document in the list:
Lastly, you’ll click Publish to publish the document for your project:
You can click on the download button to download your document, and the three vertical dots button on your custom document to edit the details or delete it:

Custom Data Collection
First, enter the name for the custom document and select “Collect Data” for your custom document type.
As an example, we will create a custom question asking our crew their shirt size.
You can add an optional description that will be displayed to the crew member if desired.
Click +Add new question:
Enter the question you would like to ask, and if desired, enter any help text for the question:
Depending on the “Question Type” you select, your options will change:
For example, if you choose “Multiple choice (single select)”, you will add the choices you’d like to present to the crew:
In the bottom right of your question, you have the following options:
- Copy: You can copy the question to continue building more questions.
- Delete: Deletes the question.
- Required: Choose to have the question be required or not.

Tip: You can also add display logic to a question. For example, if we want to know why someone selected “I don’t want a shirt”, we can add another question to find out why. Add a new question, and click the three vertical dots button in the bottom right of the question and click Add display logic: Confirm your logic is set up correctly. In our example, we want this second question to display if someone selects “I don’t want a shirt” in question 1. Click Save: You will see a note added to the question confirming the display logic is set up: |
Once you have added your questions, click Next -> in the bottom right corner:
Next, you will have the option to link your question(s) to an existing document. This is not a required step, as responses to your question(s) will be included in the crew member’s start paperwork.
If you choose to link a document, you can upload a document by clicking Link Document to map fields to your question:

Once again, click Next -> in the bottom right corner to move on to “Delivery Rules”.

To access the custom question data within Commercials Onboarding and Timekeeping, navigate to the “Employees” tab, click the three vertical dots button on an employee, and select Start Paperwork. Lastly, click Download All to receive a PDF with the data included:
Data Placed into a Document
First, name and select “Collect Data” for your custom document.
As an example, we will create custom start-work that combines custom data collection and document mapping.
For this method, you will create custom questions the crew member will answer prior to signing a form.
Those custom questions can be mapped to the form to ensure proper information is captured.
In our example, we will create a custom document for an IATSE PAC Deduction Authorization Form.
Click + Add new question to get answers to questions on the form that you’d like to fill with the answers:
Next, add your question(s), and when finished, click Next -> in the bottom right corner:
On the next screen, upload your relevant document by browsing your computer or dragging and dropping the file into the upload box, and click Upload files:
On the document mapper screen, use the left side to add any default and custom fields:

Your custom fields/questions will be green, while default ones will be blue.
