On the Time Tab, you can view timecards and batches on a single page, enabling you to better manage large volumes of timecards and batches quickly and determine the status of each timecard as follows:
- Approved – Timecards that have been approved by a supervisor.
- Submitted – Timecards that require supervisor review.
- Not Submitted – Timecards that crew members have not yet submitted.
Tip: Click the Timecard Status filter to quickly locate timecards that need your attention. |
Add to Batch - click Add to Batch.
1. Select an Unbatched Timecard from the list by clicking on its vertical ellipses and then clicking on Move to batch to place it in an existing batch. Existing batches are also listed on the left-side column under Batches
2. Create Batch
Batch numbers are your internal reference for the grouping of timecards for processing. Please review menu section BATCHES for more information.
Timecards
View Timecards - click the Pay Period to view the timecard. Review section TIMECARDS for more information.
Timecard Screen Overview
When you open a timecard, you'll see detailed information for the selected crew member's timecard. This screen includes the following sections to ensure accurate calculations and timely processing:
1. Timecard Details
2. Work Days
3. Reimbursements
4. Action Button Bar
Timecard Details
This section shows the following information:
- The crew members name, employee type, department, project role, and the ability to switch the work week via the dropdown in the top right corner.
- The option to change the batch the timecard belongs to.
Tip: Click the three vertical dots button to view more options for the timecard: |
- The Union the crew member belongs to.
- The crew member’s occupation.
- The hire location.
- The rate being paid.
- The rate type.
- Guaranteed hours.
- The option to Pay premium OT.
- The option to view payroll notes on the timecard.
Work Days
This section shows the days and hours worked for the crew member as well as the labor cost in the top left corner.
Tip: If you need to add more fields to the timecard, you can do so by clicking the More fields dropdown in the top right: The fields you select will be added as columns to the timecard for you to enter. |
To the left of each day you can toggle the days worked on and off.
If there are any notes left by the crew member on the timecard, you can click the View button under the “Crew note” column.
To the right of each day on the timecard, the three vertical dots button will allow you to:
1. Copy the times of a day on the timecard to other days. After clicking Copy to day(s), you will select which days you want to copy the times to:
2. Re-rate the crew member for the day. After clicking Re-rate, you will then select the re-rate occupation for the crew member:
Reimbursements
This section will show any reimbursements on the timecard and the ability to add more if needed. In the top left you can see the dollar amount total of reimbursements on the timecard.
You can edit any of the columns within the row for each reimbursement by clicking into the desired column you need to change/update.
To the right of each reimbursement, you can click View to see the attached supporting document (i.e. a mileage form) for the reimbursement.
If you need to delete a reimbursement you can click the Trash Can icon to the right.
To add a reimbursement, click + Add reimbursement in the top right corner of the reimbursements section:
This will populate another line for you to enter the details of the new reimbursement:
Once you finish adding the reimbursement, click Save and calculate to attach the reimbursement to the timecard.
Action Button Bar
The action button bar includes multiple action buttons you can use to make sure the timecard is breaking properly before eventually approving, as well as the option to request changes from the crew member if needed.
In this button bar, you will see:
1. The gross total for the timecard, including reimbursements
2. A button to view HTG details of the timecard you are currently reviewing (this will provide a PDF of the HTG details in a new browser tab).
Note: Be sure to click Save first to make sure you receive the most up-to-date breakdown. |
3. Any time you make changes to the timecard, click Save.
4. Request changes can be used in two different ways:
- As the admin you can make changes to the timecard and send it to the crew member for them to review and approve the changes you’ve made.
- If you prefer that the crew member makes the changes, you can click Request changes and comments of the changes you would like the crew member to make.
Tip: As the admin, you can also make all required changes yourself and approve the timecard with no action needed from the crew member. |
Once the timecard is completed and all necessary changes have been made, and you're ready to approve, click Approve.
